How it works
One thing to set up, then three steps a month.
First, once: set up your import map
The import map says which column of your workbook holds which piece of billing information. It lives in Settings rather than on the Import tab, because it belongs to your agency rather than to the month.
Most agencies never change it. Batch Billing starts with the map for the standard 37-column DHS billing template already selected, and the Import tab names which map is in use.
One habit worth keeping: if a column is ever added to the workbook, add it at the end. The map reads columns by position, so inserting one in the middle moves everything after it.
That is the only part you set up. Everything below is the month.
Then, every month
1. Import the workbook and check it
Choose the file and press Import and check.
If your agency bills under more than one NPI or UMPI, Batch Billing asks which one this workbook is for and waits for you to pick. The provider you choose is the name and the ID on the claim file, so it is never something that happens by pressing Enter.
2. Decide who is on this batch
Everybody in the workbook appears on the Preview tab, with a running total above it: how many lines are being billed, how many are skipped, and what the batch comes to.
Billing only a few people takes one press. Search for the client and press Skip everyone else.
3. Produce the claim file
Batch Billing writes an ASC X12N 837P (005010X222A1) file, with a readable copy beside it so you can see what went. That file is what you submit to DHS.
The batch is recorded, control numbers and all, so the next one picks up where this one left off.
What you need
- A Windows PC, including Windows on Arm.
- The billing workbook you already keep.
- Your MHCP enrollment details: NPI or UMPI, and your submitter ID.
